Mark form elements that contain personal data

Last updated:

For personal data in form submissions to be anonymised, the corresponding form elements need to be marked as personal data.

Only elements marked in this way will be anonymised — all other data remains unchanged.

Form elements from previously published versions of the form are also displayed when marking. If these are marked as personal data, the corresponding information will also be anonymised.

Why marking is important

By marking form elements, you specify which fields contain personal information such as names, email addresses or telephone numbers.

This ensures that personal data is correctly anonymised when an anonymisation job runs, while all other content remains untouched.

Marking helps your organisation handle submissions in line with data protection requirements.

In the article “ Automatically anonymise data in individual forms”, you’ll learn how to set up anonymisation for specific forms.

The article “ Automatically delete and anonymise form data” shows you how to configure privacy settings that apply to all forms.

How to mark form elements

  1. Open the form for which you want to mark personal data elements.
  2. Go to the Submissions area.
  3. In the top-right corner, click Actions → Mark personal data.
  4. A list of all form elements included in the form will open.
  5. Select the elements that contain personal data.
  6. Save your selection.

Once saved, the selected form elements are marked as containing personal data.
They will be anonymised automatically if privacy settings in the Admin centre require the anonymisation of personal data, or if an active anonymisation rule is set up for the form.

Frequently asked questions

Can I change the marking later?

  1. Yes. You can adjust the marking at any time. Changes will apply to all future anonymisations.

What happens if I don’t mark any elements?

  1. If no elements are marked, no data will be anonymised when an anonymisation is executed.

Can anonymised data be restored?

  1. No. Once personal data has been anonymised, this process is permanent and cannot be reversed.
