Manage the personal data collected through individual forms in a targeted and compliant way by defining when it should be automatically anonymised.
When a job runs, form fields marked as containing personal data are either cleared or replaced with placeholders, while the rest of the submission remains unchanged. This ensures that personal information is only stored for as long as necessary while keeping an overview of your submissions.
Unlike privacy settings that apply to all form data, form-specific automations apply only to the selected form. They are useful if certain forms require different retention periods or have specific data protection requirements.
How to automatically anonymise data for individual forms
Open the form you want to manage.
Go to Submissions → Automations.
Click New Automation in the top right corner.
Select Anonymise personal data.
In the window that opens, specify the period after which the data should be anonymised.
Optional: Add a comment to the automation.
Decide whether you want to create the automation only, then click Create automation. To create and activate it immediately, click Create and activate.
You've created an automations for the form. All form fields marked as personal data will be anonymised automatically after the defined time period.
Frequently asked questions
What happens to form-specific automations when privacy settings are already active in the Admin centre? Both the privacy settings in the Admin centre and the form-specific automation apply at the same time. Submissions are deleted or anonymised according to the shorter time period.
Example 1: Admin centre privacy settings delete submissions after 1 year, while the form-specific automation deletes after 6 months → Submissions are deleted after 6 months.
Example 2: Admin centre privacy settings delete submissions after 1 month, while the form-specific automation deletes after 1 year → Submissions are deleted after 1 month. The form-specific automation has no visible effect, because the submissions have already been deleted.
Can anonymised data be restored?
No. Once data has been anonymised, it cannot be recovered.
What happens if I don’t create an automation?
Personal data will remain unchanged until it is manually deleted or anonymised, or until the appropriate settings for submissions across all forms are configured in the Privacy section of the Admin centre.
