Provide form submissions as PDF – two methods compared

Do you want to offer users a copy of their submitted form data as a PDF document? Perhaps fully aligned with your company’s corporate design? Or do you need to forward submitted data automatically to your team for internal processing?

Use a PDF design

With this approach, you use a pre-built design template from the Admin Center. You can customise its visual layout (such as adding your logo or adjusting colours) and add bespoke content in the form settings, including introductory texts and notices.

Best suited if:

  1. You want to set up a consistent PDF layout quickly across multiple forms.
  2. You do not want or need to create a custom, fillable PDF document.
  3. The customization options within the design template (layout, rows, text blocks) cover all your requirements.

Upload your own PDF

Create a fully customized, fillable PDF document matching your corporate design using a suitable PDF editor (such as Adobe Acrobat Pro DC, OpenOffice, or LibreOffice), then link it directly to your online form. You then simply map your form fields to the corresponding fields in the PDF document.

Best suited if:

  1. You need a complex layout that goes beyond the built-in design templates.
  2. You already have an existing, fillable PDF form you want to reuse.
  3. You require complete design control over the final PDF document.

Providing the PDF

Whichever method you choose, you can make the completed PDF document available to your users in two ways: as a direct download in the confirmation message right after form submission, or as an email notification attachment.
