Filtering submissions

Are you looking for the proverbial needle in the haystack? Perhaps you only want to see submissions from forms that have been filled out by users under 40 years of age? Maybe you only want to see submissions from a specific city? Once submissions start piling up, it can quickly become difficult to keep tabs on them.


The filter functionality in Formcentric lets you filter submissions according to your own criteria. This lets you concentrate on the submissions that you want to review while temporarily hiding submissions that are not relevant.

Adding and removing filters

Below, we show you how to add a filter to your submissions as well as how to remove existing filters.

The Filter options section goes through the various options you have for creating filters according to your own criteria.


Adding a filter

To add a filter to your submissions, proceed as follows:

  1. Click Forms at the top of the screen.
  2. Search for the form whose submissions you want to filter and then click the submissions number shown in the Submissions column.
    This takes you to the submissions page for the selected form.
  3. Click Filter at the top right.
    The Filters sidebar appears.
  4. Select a filter option and define your filter criteria. For further information, check the Filter options section.
  5. Create any other filters you may need. To do so, click Additional filter and then proceed as described in step 4.
  6. Click the ‘X’ at the top right to close the Filters side bar.

You have added a filter to your submissions.


Removing a filter

You can remove filters individually or remove all of your filters.

Removing filters individually:

  1. Click the filter shown above your submissions that you want to delete.
  2. Use the Filters sidebar to find the filter that you want to remove and then click the waste bin icon.

Removing all filters at once:

  1. In the Filters sidebar, click Reset all.

Filter options

In the Filters sidebar, you can filter by any values that are displayed to you in the submissions overview. This means you can filter by the input that users have made in your form, as well as form metadata and status. To do so, pick the data type from the Choose filter dropdown.

Various conditions then become available, based on the type of data you are filtering on. We go through these conditions below.

To filter on text

To filter on text, such as input made in an input field, you can specify the following conditions for the value:

  1. starts with
    The selected field must start with the value you enter here.
  2. is equal to
    The selected field must match the value you enter here.
  3. contains
    The selected field must contain the value you enter here.

To filter on numbers

To filter on numbers, you can specify the following conditions for the value:

  1. contains
    The selected field must contain the number (value) you enter here.
  2. starts with
    The selected field must start with the number (value) you enter here.
  3. is equal to
    The number in the selected field must be equal to the number (value) you enter here.
  4. is less than
    The number in the selected field must be less than the number (value) you enter here.
  5. is greater than
    The number in the selected field must be greater than the number (value) you enter here.

To filter on statuses

If you have assigned statuses to your submissions, then you can also filter on these values:

  1. is equal to
    The status must match the status (value) you select here.
  2. is not equal to
    The status must not match the status (value) you select here.

To filter on options

To filter on options contained in a multiple choice, single choice or drop-down list field, you can use the following conditions:

  1. is equal to
    The option the user selected for the form field must match the option (value) you select here.
  2. is not equal to
    The option the user selected for the form field must not match the option (value) you select here.

To filter on submission date

You can also filter submissions by the date when you received them. You can either filter by a specific date or by a date range.


When you select Submission date as a filter type, you have the following options:

  1. You can specify a single date that you want to use as your filter.
  2. Or you can specify a period of time, with a start date and an end date.


Common date filter options are provided to make it easier for you to create your filter. If one of these options is the right one for you, simply click the corresponding icon and the filter dates are entered automatically.
